I see you over there staring at that blinking cursor, trying to figure out what to say to your followers! With 3 Instagram accounts of my own and client accounts to write for also, I don’t have time to run out of ideas or photos. Imagine not having to worry about what you are going to post for the next 3 months. Today I’m pulling back the curtain on how to schedule Instagram posts in two, yes TWO, hours for the next 3 months!
I know you’ve probably heard about batching tasks, but all the rumors are true – you will save so much time if you batch editing your Instagram photos. I edit all of my Instagram photos in Lightroom on our MacBook before I post them.
In order to keep your ‘gram cohesive, you will want to use the same preset, filter, or editing style for each image. The easiest way to keep it cohesive is to create your own preset or purchase a preset. Then you can use that preset on your photos each time, making slight adjustments as needed.
Getting Caption Ideas Organized
I keep a Trello board dedicated to caption ideas for my accounts. I have ideas pop in my head constantly, and when I do, I add it as a card to my Instagram Ideas Trello board! (I have the Trello app on my phone so if I think of something while I’m out I can pop it in there too!)
Also, observe which captions make you stop your scroll next time you’re on Instagram. Jot a note in your fav notebook about what it was that made you stop. You can’t copy the captions, but you can craft them to make them your own!!
If you have a bank of ideas waiting for you, it makes it a million times easier to write captions when you sit down to do it.

I have created sets of hashtags for my posts that I use each time. The only one I can’t do this for exactly is my travel account. I still have a set of general travel hashtags that I use. But because I’m talking about different destinations, I always have to pepper in a few of the destination’s hashtags. I used Tailwind to help me choose the best hashtags. Tools like Tailwind can help you figure out which captions would work best for your photos while you schedule your Instagram posts!
Batch Post Scheduling
Batching is back! The next step I took to schedule all my Instagram posts was uploading my photos to a scheduling app or service. If you are not using an app like Later, Planoly or Tailwind, we’re gonna have to talk right now.

Go to your app store right now, and download one of these scheduling apps because it will instantly make your life easier! My favorite app? I think Planoly is my favorite right now because it’s easier visually to plan your feed. BUT my peeps at Tailwind have that awesome hashtag tool that can’t be beaten! I use all three of the ones I mentioned above because it’s more affordable for me to do that right now. Eventually, I will likely switch to only one!
Did you cringe at that headline? It’s okay, I’ve been there. I actually broke up with Instagram for a short time because I was so over them and their algorithm. Stay with me though!! We are keeping it positive because if I can do this, you can do this!
When I’m writing my captions, I always write them from my MacBook. Why? Because I can type faster on my computer than I can on my phone. I also feel like it’s easier for me to go through photos and plan my feeds more intentionally that way.
My dog Sassy’s feed has a mixture of lighter and darker photos so I like to make sure those are going to look good in the order I’ve put them in when it comes time for someone to check out her grid. For my travel blog insta, I don’t want to have 5 posts about Paris or talk about places to eat 5 times in a row. People want variety! You have to mix it up a bit.

Post & Interact
Now that you have your captions and photos together, you can sit back and wait for a push notification on your phone to tell you when to post! You’ll never have to worry about remembering to post again with a scheduling app!! I needed this sort of reminder because I was forgetting constantly to post. If there is one thing to remember, it’s that consistency is king on Insta!
Instagram is a great place to connect with your ideal clients and to meet new people. Be sure to make time to interact with your followers & the people you are following on a daily basis! Respond to all comments (unless they are weird and spammy) because YAY!! – someone actually saw your post and liked it enough to spend some of their time to leave you a comment. Which is pretty special when you think about it! Be sure to comment on posts you love too!
Getting Your Posts Seen
Instagram is currently favoring posts with more than one photo – so if you want to take another swing at getting your post seen, make sure you schedule your Instagram posts with more than one photo. (I’m really bad about this but it’s on my list of things to improve on.)
Asking for Help
Sometimes outsourcing your Instagram completely is the better option if you literally don’t have time to do it, or if you are just not interested in DIYing it. That’s where I come in, and I sure do love a good Insta project!!
